Job Overview

Applied Systems, Inc., a worldwide leader in insurance technology, is searching for a Senior Administrative Assistant to join our Canadian team in Montreal.  In this role, you will be responsible for providing program support for the Canadian market and serve as the Executive Coordinator to the SVP & GM, Canada; SVP, Revenue & Strategy; and Senior Director of Marketing. You will have ownership and responsibility of both the internal and external client facing services including client hospitality, events, and office visits for both the Montreal and Toronto locations. This role will ensure operational excellence for the areas of facilities, office management, mail, workplace health & safety, sustainability, business continuity and travel management.

 

What You Will Do

  • Sales and Marketing support
  • Program leader for client events – this includes planning, scheduling, and organizing all aspects of event coordination and general office operations and– looking for creativity in developing unique customer experiences.
  • Partner with Sales, and Marketing Teams to develop localized presentations, content, and materials.
  • Always acting as a positive and professional ambassador for the business
  • Office Management and Executive Meeting Coordinator
  • Partner with other departments on internal communication needs, including town halls and organizational updates.
  • Serves as Site Leader for the Montreal location and support the Toronto location that includes being the contact for all facilities, responsible for site security, emergency response coordination and liaison with the landlord. Manages outside contractors to provide property and office management services.
  • Ensure effective management of meeting rooms, assisting with planning, co-ordination and arrangement of all office moves and liaising with relevant contractors.
  • Procuring and managing office equipment, keys, stationery, and supplies
  • Providing administrative support throughout the office as requested
  • Up to 20% travel

 What You Will Need to Be Successful

 

We’re looking for someone who:

  • Ability to work from our Montreal office and travel to Toronto as needed for customer events.

Your experience should include some or all the following:

  • Bilingual in Canada’s 2 official languages (English/French)
  • 3+ years of proofreading, administrative and/or office management experience
  • Professional demeanor, dependable, and able to maintain confidential information.
  • Flexible, detailed, and able to successfully accept and lead change in an organization.
  • Ability to thrive in fast-paced environment and manage competing priorities.
  • Proactive, resourceful, and always maintaining a high level of professionalism.
  • Strong written and verbal communication skills – you will need to present at meetings.
  • Solid understanding of Microsoft Office programs
  • Keeps an open mind when responding to demanding customer requests; regards these difficult requests as opportunities to meet or exceed customer needs and expectations; responds to customer requests and expectations in a flexible and adaptive manner.
  • Must be able to work independently with minimal direction – strong organizational skills.
  • Bachelor’s degree preferred.

  • The ideal candidate will have experience supporting multiple managers or programs within an organization.
  • Working knowledge of CRMs, Salesforce.com preferred; with knowledge of Marketo, On24, Drift, Calendly
